Describe the community, problem and intended outcome. Explain how the proposal relates to the organization’s remit and who should be involved in defining success.

Avoid substituting broad reach claims for a specific account of the people and needs the activity would serve.

Choose a suitable contribution

A proposal might involve scientific explanation, educational design or an evidence-led public activity. Match the format to the audience’s context and resources.

Use original sources for factual claims and distinguish evidence from advocacy or organizational preference.

Plan access and accountability

Identify responsible contacts, safeguarding, accessibility, privacy and any restrictions on public communication. Clarify whether the organization is proposing the work directly or acting for another body.

No institutional logo or affiliation should be used without authorization.

Define evaluation and next steps

Specify the output, resources, timing and how usefulness will be assessed. Include what participants or affected communities can contribute to the design.
